Also called: missed appointment, no-show rate, appointment attrition

A no-show is a booked appointment the contact never attends. No-show rate is the share of booked appointments lost this way, and for most service businesses it is the single largest recoverable leak between a lead and revenue.

No-shows are usually treated as a people problem and are almost always a timing problem. The gap between booking and appointment is where intent decays, and nothing in that gap reminds the person why they booked.

Two mechanics move the number more than anything else: reminders timed relative to the appointment rather than to the booking, and a reply path that makes rescheduling easier than vanishing. Somebody who can text back and move the slot is not a no-show; they are next week's appointment.

The third mechanic is what happens afterwards. A missed appointment with no follow-up is a dead lead. A missed appointment that triggers a same-day message with a rebooking link recovers a meaningful share of them.

  • Appointment waits are relative to the appointment itself: a set number of minutes, hours or days before or after its start or end, so a 24-hour reminder stays 24 hours out even when the booking moves.

Where teams get this wrong

Reminders timed from the booking instead of the appointment fire at the wrong moment for anybody who reschedules — and the display default trap is real: if a wait's direction is left unset, check which way the tool actually reads it before trusting a reminder to arrive before the meeting.

Common questions

How many reminders is too many?

Two or three placed well beats five placed evenly: one at 24 hours, one at an hour, and — for high-value appointments — one at booking that confirms the details.

Should reminders be SMS or email?

SMS for the hour-before, because it is read in minutes. Email for the confirmation, because it holds the joining link, the address and the reschedule link without truncation.
